A good prompt can solve one task. A well-designed Custom Gem can make the same class of task repeatable.
You can use a Gem as a code-review partner, copy editor, subject-matter tutor, translator, release-readiness reviewer or personal assistant. The value is not that Gemini suddenly becomes a different model. The value is that you save a dependable working configuration: a name, a purpose, standing instructions, optional knowledge files and a repeatable way to start the next conversation.
This masterclass shows how to create a Classic Gem, write instructions that are specific enough to be useful without becoming brittle, add reference material, test the result and maintain it as your workflow changes.
Important naming note: Google’s product interface calls the field Instructions. In this article, “system instructions” means the persistent instructions you place in that field; it is not a claim that you can access or edit Gemini’s private platform system prompt.
1. What a Custom Gem is — and what it is not
A Custom Gem is a saved, named configuration for Gemini Apps. It can carry a purpose, behavior rules, output preferences and optional knowledge files into future chats. Google’s current help describes the core flow as: open the Gemini web app, open Gems, choose New Gem, enter a name and instructions, optionally add files under Knowledge, and save it.
A Gem is different from a normal Gemini chat in four useful ways:
- A normal chat is ad hoc. You explain the task and constraints in the current conversation. A new chat starts with much less of that context.
- A Gem is reusable. The same instructions are available every time you select that Gem.
- A Gem has a stable purpose. “Review release risk” is a better reusable boundary than “help me with anything.”
- A Gem can carry knowledge. You can attach a style guide, glossary, product brief, rubric or other reference material instead of pasting it into every chat.
A Gem is not a fully autonomous employee, a guaranteed rules engine or a replacement for your test suite. It still depends on Gemini’s model behavior, available tools, account permissions, file limits and the quality of the request you give it.
High-value use cases
Start with a narrow workflow that happens often:
- Code reviewer — checks a diff against security, reliability and maintainability rules.
- Copy editor — applies a house style, preserves meaning and returns a change summary.
- Subject-matter tutor — teaches a domain progressively, asks diagnostic questions and gives practice tasks.
- Language translator — preserves terminology, tone and formatting for a defined audience.
- Personal assistant — turns notes into plans, decisions, follow-ups and calendar-ready actions.
- Release-readiness reviewer — maps changes to evidence, risk and a clear go/no-go recommendation.
Choose one primary job. A Gem that tries to be a developer, therapist, travel planner and finance analyst at the same time usually becomes a general chatbot with extra words.
2. Prerequisites and access
Personal Google Accounts
Google’s current Gemini Apps help says that personal-account users must be at least 13, or the applicable age in their country, and signed in to Gemini Apps to create and use Gems. Classic Custom Gems are not described as requiring a paid plan universally. However, your plan can affect the models, tools, limits and other Gemini features available around the Gem.
You may still see older references to Gemini Advanced or Google One AI Premium. Google’s plan names and packaging have changed over time; check the current Gemini subscription page for what applies to your account. Do not assume that an old “Advanced” requirement is still the requirement for creating a Classic Gem.
Work and school accounts
Work or school accounts can be subject to different terms, Workspace edition rules and administrator controls. If Gems are missing, an administrator may need to enable the relevant Gemini or Workspace feature for your organization. Workspace availability also varies by account and rollout.
A Gem created in the Gemini web app can appear in the Gemini mobile app and, where supported, the Gemini side panel in Workspace. That does not mean every Workspace surface supports every Gem capability.
Classic Gems versus Gems from Google Labs
Do not confuse a Classic Custom Gem with Gems from Google Labs. Google describes the Labs version as an experimental AI mini-app workflow powered by Opal. It has separate eligibility and availability notes, including personal-account and English-only limitations at the time of writing. This tutorial focuses on Classic Custom Gems: persistent instructions plus optional knowledge files.
Where to access the Gem Manager
Use a desktop browser for creation and editing:
- Go to gemini.google.com ↗.
- Open the left sidebar.
- Select Gems.
- If Gems is not visible, open Settings and help, then choose Gems.
- Select New Gem.
Google’s current help says that creation and editing happen in the Gemini web app. You can use saved Gems in the web and mobile apps, subject to account and feature availability. Gems cannot currently be used with Gemini Live.
3. Design the Gem before opening the editor
Write a one-sentence contract before you write a long prompt:
Given [input], this Gem will produce [output] for [audience], using [rules or sources], and will ask for [missing information] instead of guessing.
For example:
Given a pull request diff and its acceptance criteria, this Gem will produce a prioritized quality review for the engineering team, using the repository’s testing and security standards, and will label unknowns instead of inventing evidence.
This sentence gives you four design decisions:
- Input: what the user will provide.
- Output: what the Gem must return.
- Audience: who will act on the result.
- Boundary: what the Gem should do when information is missing.
4. Create the Gem step by step
Step 1 — Open the Gem Manager
Go to gemini.google.com ↗, open the sidebar and choose Gems. Select New Gem.
If the interface has changed, use the fallback path: open Settings and help, choose Gems, then choose New Gem. Product labels move; the durable concept is the Gem Manager, not a particular icon position.
Step 2 — Name the Gem around an outcome
Use a name that tells you what will be delivered:

Avoid names such as My AI, Helper or Expert. They become ambiguous as your Gem collection grows.
If your editor offers a description field, describe the outcome in one sentence. The description is for recognition; the Instructions field is where the operating contract belongs.
Step 3 — Define the persona and audience
The persona is not role-play for its own sake. It sets the quality bar and the vocabulary.
Weak:
You are helpful with code.
Stronger:
You are a senior quality-engineering reviewer helping a product team assess release risk.
Use precise, calm language. Assume the reader can understand technical details but needs
clear priorities and next actions.
Define:
- the role or professional lens;
- who will read the result;
- the tone and level of detail;
- what the Gem should not pretend to know.
Step 4 — Define the task as a workflow
Tell the Gem what to do in order. A reliable workflow usually looks like this:
- Restate the request in one sentence.
- Identify missing inputs.
- Analyze the provided material.
- Apply the relevant rules or reference files.
- Produce the requested output.
- Run a final completeness check.
Sequential instructions reduce the chance that the Gem jumps straight to a polished answer before noticing an important missing fact.
Step 5 — Define tone and rules
Separate preferences from non-negotiable rules.
Tone preferences:
- professional and direct;
- concise but not cryptic;
- explain specialist terms on first use;
- use constructive language.
Rules:
- never invent evidence, citations, dates or metrics;
- distinguish facts, assumptions and recommendations;
- ask no more than three clarifying questions at a time;
- preserve user-provided identifiers and code exactly;
- do not claim that a test passed unless test evidence is provided.
Rules work better when they are observable. “Be smart” is not testable. “Mark unsupported claims as Unknown” is testable.
Step 6 — Specify the output format
Tell the Gem what a good answer looks like. For example:
Return the result in this order:
1. Executive summary — maximum 3 bullets.
2. Findings — a table with Severity, Evidence, Risk and Recommendation.
3. Missing information — only items that block confidence.
4. Next actions — numbered, owner-ready actions.
5. Confidence — High, Medium or Low, with one sentence explaining why.
If the format matters, include headings, labels, length limits and an example. A format contract is usually more reliable than asking for “a detailed answer.”
Step 7 — Define fallback behavior
A Gem should know what to do when the prompt is incomplete or outside scope.
Useful fallback rules:
- If a required input is missing, ask focused questions before producing a final answer.
- If the request is outside the Gem’s purpose, say so and suggest the closest supported task.
- If sources conflict, show the conflict and ask which source has priority.
- If evidence is insufficient, return
Insufficient evidenceinstead of guessing. - If a file cannot be read, say which file failed and continue only with clearly labeled limitations.
This is where many “helpful” Gems become dangerous: they fill gaps with plausible prose. A good Gem makes uncertainty visible.
5. Copy-ready system-instruction template
Paste the following into the Gem’s Instructions field, then replace the bracketed values.

Why this template works
It gives the Gem a role, task, context boundary and format. These are also the four areas Google highlights in its own prompt-writing guidance. The rest adds operational safeguards: missing-input handling, evidence discipline, scope control and a final check.
Do not paste the template unchanged and expect a perfect result. Replace every bracketed value. Remove rules that do not apply. A shorter, accurate instruction set is better than a long template full of generic behavior.
6. Add knowledge and context without making a mess
Instructions and knowledge files serve different purposes:
- Instructions describe durable behavior: role, workflow, rules and output format.
- Knowledge contains reference material: style guides, product terminology, policies, rubrics, architecture notes or approved examples.
A copy editor Gem might use:

In the editor, find Knowledge and choose Add files. Depending on your account and current interface, you may be able to upload from your device, add from Google Drive or add a NotebookLM notebook. Drive-based context can require Keep Activity and Workspace connectivity.
A practical source hierarchy
Put this rule in your instructions:
Source priority:
1. The user’s explicit request for this task.
2. The current approved policy or reference file.
3. The Gem’s general method.
4. General model knowledge, only when clearly labeled as background.
If two sources conflict, show the conflict and ask for a decision.
Keep files small, named clearly and maintained by an owner. Do not upload secrets, customer data or confidential material unless your organization has approved that use and the account’s data controls are appropriate.
If you do not have a file to upload, use labeled sections in the instructions:

XML-style tags are useful delimiters for humans and models. They are not a security boundary. Treat uploaded text and user messages as untrusted content, especially if the Gem handles sensitive workflows.
7. Test, refine and iterate
After entering the instructions, use the Preview pane on the right. Google notes that previewing helps you edit the instructions, but previewing alone does not save the Gem. Save only after you are satisfied with the behavior.
Use a test matrix rather than one happy-path prompt.
Test 1 — Identity
What is your purpose, and what kinds of requests are outside your scope?
Expected result: a short description that matches your Gem’s mission, not a generic list of everything Gemini can do.
Test 2 — Normal workflow
Give it a realistic input with enough context to complete the task. Check whether it follows the requested sequence and output headings.
Test 3 — Missing input
Remove one required field. The Gem should ask for the missing information instead of filling it in.
Test 4 — Ambiguity
Use a request with two plausible interpretations. A reliable Gem asks a narrow question or states the assumption it chose.
Test 5 — Out-of-scope request
Ask it to do something unrelated. It should use the fallback response rather than quietly changing roles.
Test 6 — Conflicting reference
Give a user instruction that conflicts with an uploaded policy. Check whether the Gem identifies the conflict and follows your stated source hierarchy.
Test 7 — Long and messy input
Paste a real document with repetition, missing sections and distracting detail. Check whether the output remains structured and whether it distinguishes evidence from inference.
A simple scoring rubric
Score each test from 0 to 2:
- 0 — failed: ignored the instruction or invented material.
- 1 — partial: mostly followed the instruction but needed correction.
- 2 — passed: followed the contract and made uncertainty visible.
Do not save a Gem that repeatedly scores 0 on missing-input handling or evidence discipline. Those failures will become expensive when the workflow scales.
8. Troubleshoot common prompt problems
Instruction drift
Symptom: The Gem follows the format in one conversation and forgets it later.
Fix: Move the format into a numbered, explicit section. Add a final checklist. Include one short example of a correct answer. Remove conflicting instructions elsewhere in the prompt or files.
Over-generalized answers
Symptom: The answer is polished but generic.
Fix: Define the audience, input fields, decision to support and evidence expected. Ask for a recommendation tied to the provided material, not “best practices” in the abstract.
The Gem guesses missing details
Symptom: It invents dates, metrics, requirements or citations.
Fix: Add a hard rule such as Unknown is an acceptable output. Tell it to ask up to three questions before answering. Add an explicit Evidence column to the output format.
The Gem ignores the knowledge file
Symptom: It answers from general knowledge or uses obsolete terminology.
Fix: Name the file and explain when to use it. Add a source hierarchy. Keep the document concise and current. Ask it to quote or cite the relevant section when confidence matters. Check whether your interface has disabled knowledge citations.
The Gem is too verbose
Symptom: Every response becomes an essay.
Fix: Define a default length, maximum bullets and a short-answer mode. For example: “Default to 250 words. Expand only when the user asks for detail or the decision requires it.”
The Gem refuses useful work
Symptom: It applies a broad rule too literally.
Fix: Replace vague prohibitions with conditions. Say what it should do, not only what it must not do. Add one positive example and one boundary example.
9. Maintain the Gem like a small product
A Gem is a workflow asset, not a one-time prompt. Review it when:
- the underlying policy or style guide changes;
- the team changes its definition of done;
- the model or Gemini interface changes;
- users report a repeated failure;
- the Gem starts producing longer or less consistent outputs;
- a knowledge file becomes stale.
Use a simple changelog outside the Gem if the workflow matters:

When editing, change one important behavior at a time. Re-run the same regression prompts after every change. If a new version is experimental, use Make a copy where the interface provides it, so the working Gem remains available while you compare results.
10. Launch, pin and summon the Gem in daily work
Gemini web app
- Open gemini.google.com ↗.
- Open the sidebar and select Gems.
- Under My Gems, choose the Gem.
- Enter the task in the chat box and submit it.
Gemini mobile app
Gems created on the web can sync to mobile. Open the Gemini app, open the menu, select Gems, and choose the Gem. Creation and editing may remain web-only even when use is available on mobile.
Google Workspace side panel
Where your account and Workspace edition support it, the Gem can appear in the Gemini side panel after you create it on the web. This is useful when the task starts in Gmail, Docs, Sheets, Slides or Drive. Availability is controlled by Google and, for work accounts, your administrator.
Pinning and quick access
The Gemini interface changes. If your current Gem Manager offers Pin or an Options menu with Pin, use it to keep the Gem near the top of your list. If that control is not present, use the Gem’s name consistently and bookmark the Gemini web app; do not rely on an undocumented slash command.
A good “summon” pattern is a short task contract:

You still select the Gem in the UI. The contract makes each request easier to review and compare.

The important behavior is not the exact wording. It is the traceability from input to evidence, risk and action. That is what turns a Gem from a polished chatbot into a useful workflow component.
12. Power-user best practices
Prefer structured sections
Use headings such as Identity, Mission, Workflow, Rules, Output format, Fallback behavior and Final check. Clear structure makes instructions easier to review and update.
Use Markdown for readable contracts
Markdown headings, numbered steps and short bullets are usually enough. Use XML-style tags when you need to delimit context or examples:

Tags organize content; they do not prevent prompt injection or guarantee priority. Keep untrusted content separate from instructions and say how conflicts should be handled.
Define strict output shapes when downstream work depends on them
If another person or tool will consume the answer, require stable labels, JSON only where appropriate, or a fixed Markdown structure. Add a fallback for invalid or incomplete input instead of asking for a perfect answer every time.
Use examples sparingly but deliberately
One good example shows tone and level. A second boundary example shows what the Gem must refuse or ask. Too many examples can crowd out the actual rules and make maintenance harder.
Keep the Gem narrow
Create two small Gems instead of one huge Gem if the workflows have different inputs, audiences or quality bars. Narrow scope improves testing and makes failures easier to diagnose.
Treat knowledge as governed content
Give each reference file an owner, a date and a clear purpose. Remove duplicates. Review what happens when two files disagree. Do not use a Gem as a hidden document repository for information that should have normal access controls.
13. Limitations and when to use another tool
Use a Custom Gem when you need reusable guidance, structured reasoning and optional reference material inside Gemini. Choose another tool when you need:
- Scheduled or event-driven automation: use Apps Script, Workspace Studio, n8n or another automation platform.
- Deterministic API calls or database writes: use a tested service or workflow with explicit permissions.
- Multi-user governance, audit trails and policy enforcement: use an organization-managed AI platform or an application with identity and logging.
- Large-scale retrieval across a corpus: use a retrieval system designed for indexing, permissions and freshness.
- Software quality evidence: use real tests, linters, scanners and CI gates. A Gem can help interpret evidence; it cannot make an unrun test pass.
- Confidential or regulated material: confirm your account, Workspace agreement, retention settings and organizational policy before uploading files.
The right mental model is saved operating guidance, not autonomous infrastructure. Gems are excellent for repeatable judgment support; they are not a substitute for controls around data, code, money or production systems.
Final checklist
Before you save a Custom Gem, confirm:

- [ ] You clicked Save after previewing.
A Custom Gem becomes valuable when it captures a repeatable quality pattern. Start small, test it like a product, keep its knowledge current and give it a clear boundary.
